ADMINISTRATION OFFICER: ADMINISTRATION AND SERVICE SUPPORT

All Inclusive Salary package (R): R301 744

Objective: A vacancy exists within the Directorate: Foreign Qualifications, Evaluations and Advisory Services (DFQEAS) for a person who will render administrative and service support to ensure enhanced quality, monitoring, client satisfaction and reporting within the Client Support and Administration Sub-directorate.


Requirements are: Eligible candidates will have a recognised qualification in Customer Care / Business Administration / Office Management at NQF level 5, or equivalent; as well as two years of relevant experience in a customer care / office administrative environment.
Computer literacy, communication, organising, time management, conflict management, linguistic proficiency and a strong adherence to organisational values should be among the strengths of those aspiring for appointment.
A financial background and/or experience in the writing of Standard Operating Procedures will be an added advantage.
Duties : The main duties of this position include:
1. Rendering administrative support by:
- Receiving, verifying and recording transfer of documents in a designated area / areas as per agreed upon guidelines and/or relevant Standard Operating Procedures;
- Coordinating the distribution and execution of related tasks, ensuring successful completion;
- Implementing quality control measures to ensure error-free processing and communication; and
- Providing monitoring / tracking support in designated areas to ensure the consistency of reporting data.
2. Rendering service support by:
- Providing an efficient and effective information service to walk-in clients when called upon;
- Coordinating and facilitating prompt resolution of escalated requests and/or queries by collaborating and/or following up with other units in order to speedily respond to client needs and/or queries;
- Managing and maintaining an efficient mailbox monitoring service to ensure awareness of client information and documents as well as prompt processing and feedback; and
- Attending to requests for payment and refund confirmation.
